Cloud sync
Optional backup and multi-device sync for catalog, sales, and settings—without blocking local inventory work.

Why cloud sync?
Posh works offline-first. Cloud sync adds backup, multi-device teams, and web orders. For a new store, saving the store profile unlocks the workspace immediately; a PIN is optional later in Settings. Cloud creation can finish in the background when online. Join and Restore still need internet and a code before the device opens.

What syncs (and what does not)
Synced to cloud
- Products, categories, variants, prices, and on-hand quantities
- Sales, orders, customers, and receipts
- Stock receipts, suppliers, and store settings
- User profiles and tenant configuration
Device-local only (today)
- Stock movement ledger (per-item history timeline)
- Stocktake draft and posted sessions
Managing sync in Settings
Admins open Settings → Cloud sync to:
- See sync status (connected, last sync time, errors)
- Run manual sync now
- Generate invite codes (cashier or inventory staff role)
- Review sync log for troubleshooting
Cashiers and inventory staff use the Device tab for sync status and manual sync—they cannot generate invite codes. Store restore and admin PIN recovery codes are issued by Posh support after verification—not from Settings.
First-time connection paths
Create store (admin)
After local setup, Posh find-or-creates a cloud tenant tied to this device when online (or when you enable cloud sync in Settings). No codes needed. Pending or failed cloud setup never blocks inventory or clinical work on this device.
Join with invite code
- Admin generates invite code in Settings and shares it securely.
- New team member chooses Join store during first launch.
- Enter invite code on the cloud connection step.
- Posh pulls store data and registers the device.
Restore with recovery code
- Contact Posh support from Settings → Developer contact (or the help site). Support verifies store ownership and issues a one-time restore code.
- On the replacement device, choose Restore during first launch.
- Enter the recovery code when prompted.
- Catalog and settings download from cloud.
Troubleshooting sync
- Sync failed — check internet, then tap Sync now. Expand the sync log in Settings for error detail.
- Invite or recovery rejected — codes are single-use and may expire. Ask an admin for a new invite, or contact support for a new restore code.
- Device limit reached — POS subscription includes two team devices. See billing or contact support.
- Stale catalog on cashier tablet — run manual sync on the cashier device after admin edits products.
Security
Sync credentials are configured at app build time—you never type Supabase URLs or keys in the app. Your store is isolated by tenant; invite codes and operator-issued recovery codes prove membership without sharing a device PIN.
