Frequently asked questions

Does Posh work without internet?

Yes. Inventory, receiving, stock counts, clinical work (dental), food-service open orders and kitchen tickets, hotel stays on this device, laundry drop-off jobs on this device, and—when enabled—the register all run on a local database. New store setup finishes offline after you save the store profile; Join and Restore still need internet once for a code.

Is Posh a POS or an inventory app?

Both—inventory-first. Admins and inventory staff land on Home (ops overview); Inventory is the catalog tab. Point of sale, Orders, and Sales reports are optional add-ons in Settings. Turn POS off if you only need stock tracking.

What is the stock ledger?

Every operational stock change—sale, refund, receive, restock, adjust, or cycle count—updates on-hand quantity and appends a row to a local stock-movements ledger. Per-item stock history shows the timeline. Edits from the product form, CSV import, or cloud sync pull update stock directly; sync pulls do not create ledger rows.

Why doesn't stock history match another device?

Stock movement history is stored on each device only and is not synced to the cloud. On-hand quantities do sync. Use inventory reports on each device for local activity, or rely on synced on-hand for cross-device stock levels.

Can I finish setup while offline?

Yes for Set up a new store: enter store details, then use the workspace immediately. A PIN is optional later in Settings. Cloud backup connects automatically when you are online (or from Settings). Join store and Restore still need internet and a code before the app unlocks.

How do I restore my store on a new device?

Contact Posh support (Settings → Developer contact) for a one-time restore code. On the new device, choose Restore store from cloud, confirm store details, and enter the recovery code during cloud sync. You can set a PIN later in Settings. Admins do not generate restore codes in Settings—support issues them after verifying store ownership.

How does a team member join?

Admin generates an invite code in Settings (choose cashier or inventory staff role). On a new install, choose Join store, enter display name, then enter the invite code during cloud sync. Staff can set a PIN later on Device.

What's the difference between inventory staff and cashier?

Inventory staff manage stock operations—receiving, stocktake, restock—but cannot edit the catalog or open Settings. Cashiers use POS and Orders when enabled. Admins have full access.

Which platforms are supported?

Posh is an Android app for phones and tablets used at the counter and in the stock room.

Who owns my data?

Your data lives on your devices locally. When sync is on, copies are stored in the cloud under your store tenant. You can export reports and delete data from Settings.

Sales reports vs inventory reports?

Sales reports (optional add-on) show revenue KPIs from checkout. Inventory reports (under Inventory menu) show stock health, valuation, and movement summaries—they work even when Sales reports is off. Replenishment (same Inventory path) adds rule-based reorder estimates and draft POs or Supply cart prefill for review—not automatic ordering.

App permissions—why camera, Bluetooth, location?

Camera scans barcodes. Bluetooth connects to receipt printers. Location is required on some Android versions for Bluetooth discovery only—not for tracking staff or customers. Internet is used for sync, subscriptions, web orders, and image upload.

Common issues

Sync will not complete

  • Verify Wi‑Fi or mobile data is working.
  • Open Settings → Cloud sync → Sync now.
  • Expand the sync log for error messages.
  • Confirm your subscription is active if adding new cashier devices.

Wrong stock after sync

On-hand syncs from cloud; movement history does not. If two devices sold the same SKU offline, last sync wins for quantity. Run a stocktake to reconcile floor counts.

Cannot open Inventory / Settings

Cashiers are restricted to POS and Orders. Sign in as admin or inventory staff for stock operations. See Users & roles.

Printer will not connect

  • Ensure Bluetooth is on and the printer is paired in Android settings.
  • Re-select the printer in Settings → Printer.
  • Grant Bluetooth (and location if prompted) permissions to Posh.

Forgot device PIN

Forgot PIN appears only after a PIN is set. Until then, the workspace opens without a login screen.

  1. On the locked device, tap Forgot PIN? on the PIN login screen.
  2. Cloud sync must already be on for this owner device. Local-only stores cannot use operator PIN recovery—enable cloud sync from a working admin session first, or use store restore if the tablet was wiped.
  3. Request a PIN reset to receive a support reference (format PR-…). Contact Posh support with that reference (Settings → Developer contact, or the contacts on the recovery screen).
  4. Support calls the owner contact on file (not a number you type in chat), then issues a one-time PIN-reset code.
  5. Enter the code on the same device, create and confirm a new 4-digit PIN, and sign in. Store data on the device is not wiped.
