The Inventory screen is the catalog for admins and inventory staff—products, stock ops, and movement history. Home is the ops overview.

Home vs Inventory

After sign-in, admins and inventory staff land on Home — stock health, alerts, shortcuts, and (for admins) today's sales and pending web orders. Use the Inventory tab for the product catalog.

The Inventory screen

The Inventory screen shows your product catalog with search, category filters, and stock status summary counts at the top.

  • Summary bar — counts of low-stock and out-of-stock items. Tap a count to filter the list.
  • Filter chips — All, Low stock, or Out of stock. Low stock means on-hand is 5 or fewer units, or below one sub-unit pack when you sell in packs.
  • Product cards — name, price, SKU, and current on-hand quantity.

Screen menu (⋮)

Open the overflow menu in the app bar for store-wide actions:

  • Receiving — delivery receipts.
  • Purchase orders — planned supplier orders and PO receive.
  • Stocktake — multi-SKU count sessions.
  • Inventory reports — health and valuation.
  • Categories — organize your catalog (admin only).
  • Suppliers — manage supplier records (admin only).
  • CSV import / export — bulk catalog updates (admin only).

Adding and editing products

Only admins can create, edit, or delete products.

  1. Tap + to add a product, or tap a product to edit.
  2. Fill in name, price, optional barcode/SKU, cost price, category, and image.
  3. Set on-hand stock on the form. Saving creates an adjust entry in the stock ledger tied to a catalog edit.
  4. For products with variants (size, color), each variant has its own stock level.
  5. Toggle Track batches / expiry when you want optional lot and expiry fields on receive (manual or PO). See lot tracking below.

Lot tracking (batches & expiry)

Enable Track batches / expiry on a product to capture optional batch/lot number and expiry date when you receive that SKU—through a manual receipt or a purchase order receive.

Lot data is an advisory registry: Posh records what was received and shows it on receipt detail and stock history. On-hand stock is still one total per product; the register does not allocate or deduct lots at checkout (no FEFO at the register).

The stock ledger

Posh keeps an on-device audit trail called the stock ledger. Every operational stock change updates on-hand quantity and appends a movement row you can review later.

Changes that write to the ledger

  • Sale, sale void, or refund (when POS is enabled)
  • Receiving a delivery or voiding a receipt
  • Restock, manual adjust, or cycle count from the product menu
  • Posting a stocktake session
  • Setting stock on the product form, CSV import, or variant editor

Changes that do not write to the ledger

  • Cloud sync pulling updated stock from another device — on-hand updates directly without a movement row.

Product menu actions

Tap the ⋮ menu on any product row for stock operations (admins and inventory staff):

  • Restock — add quantity received outside a formal receipt (for example, a quick shelf top-up).
  • Adjust stock — enter a signed delta (+/−) with an optional note. Use for shrinkage, damage, or corrections.
  • Count stock — cycle count for a single SKU. Enter the physical count; Posh applies the difference as a count movement.
  • Stock history — timeline of movements for this product.

Stock history

Stock history shows current on-hand, a status badge (in stock, low, or out), and a chronological list of movements. Each row shows the reason (sale, receive, adjust, count, etc.), signed quantity change, who recorded it, and when.

For receive movements on products with lot tracking, the row also shows batch/lot and expiry when you entered them at receive time—for example, “Lot ABC123 · Exp Jul 17, 2026”.

The empty state explains that catalog and CSV adjustments appear here, while cloud sync stock updates do not.

CSV import and export

Admins can bulk-load or update the catalog from CSV via the Inventory menu. Download the template first to see required columns. Import upserts products by SKU or name; absolute stock values from CSV create ledger adjust rows.

Barcode scanning

Use the camera to scan barcodes when adding products, counting a stocktake, receiving a delivery, or at the register. Posh requests camera permission for barcode scanning only—not for tracking location.
