Stocktakes
Count many products in one session, review before posting, and apply differences through the stock ledger.

When to use stocktake
Stocktake is for periodic full or partial counts across many SKUs. Use it when you walk the floor with a tablet and count shelves systematically. For a single product correction, use Count stock from the product menu instead.
Admins and inventory staff can run stocktakes. Cashiers cannot access stocktake screens.
How stocktake works
A stocktake is a draft session until you post it. While in draft, counting does not change on-hand stock. Only when you review and post does Posh apply differences.
- Open Stocktake from the Inventory menu.
- Start a new session. Optionally name it (for example, “July floor count”).
- Add products—search by name/SKU/barcode, or open Scan & Count to scan barcodes, enter the counted quantity on the numpad, and keep scanning. Each line shows expected (system) on-hand.
- Enter counted quantity for each line. Lines you skip remain uncounted and are ignored when you post.
- When finished, open review.
- Confirm and post, or cancel the session.
Review and post
The review screen summarizes each counted line: expected quantity, your count, and the variance. Lines where count matches expected produce no movement.
When you post, Posh sets on-hand to your counted quantity for each counted line. The difference is recorded as a count movement in the stock ledger, linked to the stocktake session.
Conflicts
If stock changed on the device after you entered a count (for example, a sale while you were counting), the review screen flags the line as a conflict. Posting still applies your physical count—the system records a conflict note so you know live stock moved during the session.
Session statuses
- Draft — counting in progress; stock unchanged.
- Posted — variances applied; session is read-only.
- Cancelled — discarded without changing stock.
Best practices
- Count during quiet periods when possible to reduce conflicts from concurrent sales.
- Post the session the same day you count so variances reflect what you saw on the floor.
- Use inventory reports afterward to verify low-stock counts dropped after corrections.
